How to Submit a Student IT Communication Plan
When planning significant IT changes that affect students, a comprehensive communication plan is essential. This ensures that students are well-informed about any changes that might impact their academic activities.
What Is a Student IT Communication Plan?
A student IT communication plan details:
- Who among the student body needs to be informed
- The types of information they require
- The timeline for communication during the project
- The methods of communication (emails, student portals, etc.)
The objective is to provide clear and consistent messaging to prepare students for upcoming IT changes.
When to Submit a Plan
Submit a draft communication plan during the early stages of planning, before rolling out changes. Include:
- Project overview and scope
- Technical and test plans
- Risk assessments and mitigation strategies
This allows time to review the communication strategy as part of the change approval process.
Plan Requirements
Use the standard template and include:
- List of all student stakeholders categorized by course or department
- Communication milestones linked to the project timeline
- Key messages and communication channels for each milestone
- Roles and responsibilities for communication execution
- Plans for receiving and responding to student feedback
